Setting Custom Approval Workflows for Sales Orders in Borg Desk ERP
You can enable custom settings for order approval workflows before finalizing sales orders from the Sales CRM or Inventory module in Borg Desk ERP. This ensures better control, reduces errors, and aligns with business policies.
How to Enable Custom Approval Workflows for order approval?
1️⃣ Go to Admin Settings on top right Gear Icon
Navigate to Settings --> Find Users ---> User Management ---> Search for User whom to assign permission ---> Click on Permission Icon on extreme right in action column of Selected user---> Find Inventory Module --> Find Order Approval Permission ---> Mark Check (Tick Mark) if Allowed to approve orders or Uncheck if Not to Allow Approval Authority.
2️⃣ How Approval Work in Borg Desk once order is approved ?
✔Once an order is approved, No additional product items can be added.
✔Upon order approval, all items and their respective quantities are locked in the stock balance.( Locked Qty means, That Quantity can not be assigned to anybody else without unlock) Click to explore locked stock in detial
✔After order approval, the delete and view icons in the order list items section are disabled.
✔Once order is approved, all sales items data is locked, and the category, product, and order ID are stored in stock transactions. Even if the order status is later changed, edit and delete actions remain restricted.
✔Order can only be modified or Product Items can be modified after un-approved the order.
✔A Purchase Invoice (PI) can only be generated for an approved order.
✔In sales item rows, Product Item availability status can be either "Available" or "Unavailable." When an order is approved, only the available items quantities should be locked in the stock
✔In this case of partial availability of ordered Items, Order can be duplicated by clicking on "Copy" in the action button with Same order number with postfix A, B, C... along with Orders.
✔Now unavailable Item can be removed from first Order before approval & then go for PI or Tax Invoice & Similarly Available Product Items can be removed from duplicate order no.
✔If previously unavailable stock becomes available later in the stock, a mechanism is required to handle the update those product Items as Available to proceed with Approval & then Invoice.
✔Once an order is approved, it cannot be duplicated.

✔Here Order Status can also be set with Color to identify with Non-Available product order.
3️⃣ Assign Approvers
Select the Manager, Team Lead, or Finance Head who must approve the order before processing.

5️⃣ Test & Activate the Order Workflow
Run a test order to ensure the approval process is working smoothly.

✅ Stock Deduction from Inventory
Borg Desk locks the stock on approval of order by designated / assigned authority however It gets deducyed out from locked stock as per final tax Invoice.
